Committee Meeting 07/10/2024

  1. Round table:
     Sofie – Head of Ladies

     Got a new assistant coach, an American guy called Josh, which has been very helpful. That has been valuable with all the new players, so we can split the new and experienced players.
     
     The team is doing well, we’ll end up somewhere between 2nd and 4th this year – we are currently in 3rd place. CSR is doing really well!
     In the last tournament, there was a dramatic game at the end, which hopefully led to a win for the ladies! VO issues.
     
     We’re low on socks for the ladies, and the smaller sizes for the current kit, is missing.
     Development game with CSR this weekend since we have so many new players. So we’ll be fielding 2 games that year. We have 22 women signed up for the next tournament right now!
     
     Amanda applied for the DRU tourneringsudvalg, but ended up not being selected.

    Zorn – Head of Men’s
    We’re doing good, have been taking in a lot of new members. We have a new person at DRU making licenses, which is much faster than the previous setup.´It’s quite expensive with the new license fees though!

    Zorn spoke with Barnaby. For our home game with CSR, there will be a kids game before at 11:30, which will last 45 minutes.

    DTU is not doing well managing our changing rooms, so we have to fill up on toilet paper and the like in the rooms. Not all the lights on the pitch are working either.

    We have our last friendly home game against Speed on the 2nd of November. 

    We’re running out of shirts so we have to swap shirts during the game to get everyone playing.

    Jacob – DTU Liaison
    Attended the Repræsentantskabsmøde DTU Sports.
    There were interesting talks about recruitment in general.
    We did not apply for money this year, though there is the option of getting up to 25.000kr. We should make sure to apply for funding for next year.

    DTU Sport did send a photographer to one of our trainings recently.

    Stephanie will also take some pictures during our next home game.

    The football pitch is now gone, and full of dirt. There has been worries about them taking out pitch away as well, but it is not anything that will happen soon. They are keeping us informed.

    Ignasi – Recruitment Secretary
    Recruitment have gone pretty great this year. Both the ladies and the men’s team have many new players. Also many of the new players this year are experienced.
    It’s so many that we have to start separating players during trainings, so that we can make training that satisfy the need for the various levels.

    There is now a successful structure for recruitment, spread across many people in the team. It is no longer just on the recruitment secretary, but a group of people who take responsibility together.

     One thing we can get better at, is keeping focus on the new people in the rookie events. We are a bit too good at having fun with our friends in the team, and should make sure to include the new people in all the fun. 

    Stephanie – Social Secretary
    Business a usual.
    Had a chat with the manager of the Nørreport Bootleggers about the backroom, which looked promising for a bit, but is maybe not really on the table anymore. We are now being sent upstairs after the games, where we are very noisy but behave well.

    Will have a chat to Greg soon, about the yearly sponsorship.

    Nick – Club President
    Happy to see some of our Exiles Ladies in the national team last weekend!

    We have applied for funding through a trust fund, that was made to be used to integration of foreigners. Exiles has been doing this exact thing for many years now.
    We’ve applied for funding for:
    Strips for a development team, training equipment, coaches’ salaries and parties.
    If we get the money, we will have to document the use of the money.

    Simon – Treasurer
    Simon starts by telling anecdotes from old tours in Aalborg. They were drunk and stupid, just as expected – peak rugby player behaviour.
    There’s 205.000kr in the bank currently, but we haven’t paid for the bus trips this year yet. Simon is guessing that will come to about 90.000kr, maybe a bit more. We also need to pay 8.500kr and something for the ladies we sent to Finland to play on the national team.

    How much money we get into the account after our home games, changes a lot from game to game. The last weekend we only got ¼ of what we got the week before. We should make sure to do our best to sell what we can on those days!
    With what we usually get from Bootleggers and the AD&D, we should hit even for the year.

    Simon goes through the list of people who haven’t paid membership, to strike off people who have left the team.

    Jon – Club Secretary
    The Hockey pitch that we usually train on during the winter time, is being torn up and made into a proper football AstroTurf pitch. While we’d much rather play on a pitch like that, we will unfortunately be very unlikely to get a spot on the pitch, as many football teams will be wanting it as also, and they are more numerous than us.
    Fortunately the pitch will still be there until sometime March, so we will have until next winter to find a solution to this problem.
    According to the DRU, Holdsport will be the place that licenses are paid going forwards. So by next year we’ll need both teams to be using Holdsport for their players.

    We should work on updating our website, now that we’ve moved to registering players on Holdsport instead of   Klubmodul.
    We should consider if we want to move payment over there also, which we so far haven’t done, since Holdsport takes a fee for every transaction.

    Signe – Club Captain Report
    Signe has attended the quarterly DRU meeting, and gives a report:
    DRU has received 96,000kr due to having good diversity on the board. The money must be used for more diversity, e.g. focus on getting more female judges. We can contact them if we have suggestions for other initiatives.

    Louise is a new administration employee – she seems nice.

    At the board meeting in December, it must be re-affirmed that DRU will get the new name Rugby Denmark, and that it will also change license system to Holdsport.
    DRU also now have an agreement with Dinero, a platform for electronic accounting. We can make use of that if we like.
    Lastly they are developing an organisation's handbook, to make it easier to keep track of who does what and when, inside the organization.
     
  1. New Purchases
    We try to make a list of purchases we need to make:
    We need new ball, and maybe Jean-Marc who sponsored our last balls, would be willing to sponsor some again. Could we find a better brand, since the outside texture of the old ones doesn’t last very long.
    We need a new medic bag and the stuff to fill in it. We should also try to get our players to not use the medic bag for tape, since those things are in a separate box.
    One of the water bottle carriers broke, and should be replaced.
    Might need a kicking tee?
    The men’s team need socks, and we should find out if they need new shorts or shirts.

    Women need some extra shirts in smaller sizes, and we’ll figure out if we can get away with just buying a few, or we need a whole new set. The sizes seem to have changed from the old to the new kit from Akuma, which has been a problem since even the smallest sizes are too big for our smallest players.
    It’s also suggested that we look into mats for the ground to land on, for practising tackling.
  1. Exiles B Teams
    Both Exiles teams now have enough players to start talking about an A and a B team. We have a long conversation about how to tackle this.
    We should push DRU to arrange games for B teams in the future.
    We decide that the men’s team will set formalising a B team as a goal in the future, though not at this moment. We still need extra players, so we will see how the growth of the team develops in the coming year.
    The Ladies will discuss how they will arrange themselves internally.

    The Committee spoke about solutions for getting games for developing players.
  1. Hole in the ground
    There’s a big hole in the ground on our pitch at the moment.
    The refs have okayed it for now, but if it moves any closer, it is going to be a problem.
    We also need to make an effort to keep our players outside of the building site, as it is an actual hazard to move around in there.

    Zorn has looked at DTU’s future building plan, which doesn’t have our pitch on it anymore, which is worrisome. Zorn went to visit the Gentofte pitch which is in a great state, though unfortunately there are no changing facilities. But it might be something we have to consider
  1. Gentofte Update
     Aidan was unable to join us for the meeting, but has sent an update about dealings with Gentofte.
     We are still trying to get a closer relationship with them. Inviting them to have game days on our pitch, or come attend our trainings for the older players.
  1. Subs Discussion
    With the new License fees for every active player, we discuss increasing the membership fees. We suggest:
    Employed is currently 1.200kr. Increase to 1.400kr?
    Employee half from 700kr to 800kr. (Remove it entirely?)
    Students yearly is 600kr, increase to 800kr?
    Half year is 400kr, increase to 500kr?

    These numbers will have to be votes on during the AGM next year.
  1. AD&D
     Stephanie is ironing things out with DTU. The party has been moved to S Huset, on the 30th of November.
     We take note of all the things we have to get in place for the AD&D:
     We will probably need to bring our own dishes as last time.
     Greg will bring beer.
     Nick will buy too much wine.
     We will get all 1000 raffle tickets (1000 seems to be the limit?).
     Will start selling tickets soon.
     Will get food from Tom again.
     We will hire some young girls again. (the nice girls who helped with service last time)
     Ticket price might end up at 375kr this year.
     Bus at 3am.
     Vegetarians pick up their food first!
  1. Other business
     The Men’s tour super filled in no time. First to 30 people, then after re-opening, got maxed at 40 people.
