Committee Meeting 11/11/2024

  1. Round table:
    Nick gives us an update on our latest sponsorship application, which seems positive at the outlook. Now we just have to wait for their response, which might take a while.

    We’ve run out of new Exiles balls, and will need to buy a new batch of them. A former player, Jean-Marc, has generously offered to sponsor some again. 
    There have been some complaints about the quality of the balls we’ve had before, so we will try a new brand this time. Maybe the same balls as CSR have, as they seem quite grippy.
    Jon help figure out where to order the ball prints.

    Sometimes DRU mails are only sent to some of the members in the committee, so we ask members to forward their mails, when the recipient list is not visible.
     
    Some of our players have been traveling for international games. 5 of our Ladies have been in Finland for the Nordic Cup, which in total ran up to 14.000kr.
    We have been paying for the travel expenses for our players on the national teams for many years now, and will also do so this time.
    The committee thinks it might be worth bringing the subject up at the coming AGM, since the expense is quite different now that we will have a 15s women’s game in Norway next year.
     
    During the final women’s tournament this year, our Ladies got a 3rd place, narrowly missing the silver medal in the last game.
    After that game, there was a men’s game lined up on the same pitch.
    This is no issue – however because the men’s game had to start at a specific time, the women tournament had to start very early, had shorter breaks than usual, and were even kicked off the pitch for the awarding of the medals, so that the men’s game could begin.
    The committee finds it unseemly to not spend the time to focus on celebrating the women’s awards, but instead side-lining them. 
    This is also not the first time this has happened, and the committee will bring this issue up with the DRU.

    Zorn shows up almost an hour late, directly from the airport. Better than Ignasi who didn’t show up! #Shame
     
  1. Season Evaluation
    DRU is doing an evaluation on this year’s men’s tournament structure, of which there have been heavy criticism. We have been in contact with some other clubs, and intend to send our thoughts to DRU, the content of which was debated at the meeting.
    The Exiles committee are of the mind that the new tournament format was a step in the wrong direction for rugby in Denmark, and also certainly not worth the new license fee’s that we have to pay going forwards, to participate in the tournament.
    Send Michael Lai numbers about how many people had to pay full license for just a game or two.
     
  2. Meeting last week
    DRU had called the clubs for an information meeting last Wednesday the 6th of Nov, which Nick, Simon and Signe attended.
    It focused mainly on recruitment, with a presentation by someone from the Vanløse Floorball team, regarding how they recruit and use the platform Motivu.
    We also have an account on Motivu, which was set up following the DRU AGM at the start of the year. But we have not actively used the page as of yet.
    Nick felt that too much time was spent on presentations, and not enough for chat between clubs, which seemed to have been more useful.
    It was also mentioned that the player licenses will be paid over Holdsport from next year, and that there will be fees involved, that we will have to pay.
     
  3. AGM 
    The committee decide to plan the AGM on the 22nd of Feb, at Charlie Scott’s again if possible.
     
  4. AD&D Last Details
    Stephanie is finalizing plans for the AGM.
    Tickets are open, we are about 50 people now, and expect to end on about 80.
    End of party was planned for 3:00, an hour later than last year, but we have been informed that cleaning crew will arrive by 2. Stephanie is working it out with them though, so we expect the plans to remains as is.
     
    We will have to clean on the night, emptying tables and putting them back where they were when we got there, otherwise DTU will charge a fee.
    Signe and Jon are nice people, and will stay to help clean after the party. Jacob chips in last minute, to also get the “nice” medal.
    We will ask team members to be extra helpers for setup and clean-up.
     
    We’ll have to rent dishes again, and then pack them all up after the dinner, and put them in the van outside. For this reason we will use plastic cups for beers again. Plastic cups for beers.
    Simon will rent van and dishes for us. He will also get sodas.
    Jacob will arrange moving kegs and taps from Bootleggers on the day.
    Simon needs the names for trophies by the 25th, so they can be engraved.
     
    We have access to the room from about 13:00.
    We will come and help with the setup from 14:00
    The party itself starts at 17:30
    Busses to leave for town at at 1:00 and 3:00.

    This year we will let the vegetarians go up to take their food first, otherwise the rest of the players will grab all their stuff. We've tried to prevent this from happening, but with little luck so far!
     
    We talk about raffle prizes and ask everyone in the meeting to help source prizes. Stephanie will also come up with some fun ones.
    We should make sure to have plenty of tickets for sale, as we have run out the last two times!
    Patri and Sasha’s names are thrown into the pot for the raffle presenters tag-team
